What actually matters in CRM software

CRM is a mature category where almost every product can do almost everything. The differentiators that genuinely predict success are more human than technical.

Adoption is the metric that matters

Failed CRM deployments rarely lack features; they lack reps who open the product willingly. Automatic activity capture, fast interfaces and ruthless field minimalism drive usage. In our scoring, week-one usability counts for more than any automation capability.

The suite gravity is strong, and costly

All-in-one platforms win because marketing, sales and service sharing one contact record genuinely works. The trap is pricing: suites monetise every adjacent function you switch on. Buyers should enjoy the convenience with a running total in view.

AI features reward clean data exclusively

Predictive lead scoring, email drafting and forecast intelligence are only as good as the contact and activity data underneath. Teams with disciplined data hygiene get startling value from CRM AI; teams without it get confident nonsense. Hygiene first, AI second.

Exit costs deserve more respect

CRMs accumulate custom fields, automations and integrations until leaving feels impossible. Periodically export your data, document your automations, and treat any vendor-specific feature as a small bet against portability.
