How to choose email marketing software
The right email platform depends on what you send, who you sell to and how fast your list grows. This guide walks through the decisions in the order you should make them.
1. Define the job first
Newsletters, promotions, lifecycle automation and transactional email are four different jobs wearing one label. A platform brilliant at abandoned carts may be mediocre at editorial newsletters. Write down the three emails that matter most to your business and evaluate against those.
2. Model pricing at your future size, not today's
Contact-based versus volume-based pricing flips the winner depending on list shape. Price every candidate at your current list, at double and at ten times — and count inactive contacts, which most contact-based vendors happily bill for. The cheapest platform at 500 contacts is rarely cheapest at 15,000.
3. Deliverability is infrastructure, not a feature checkbox
Every vendor claims great deliverability. What actually predicts it: shared-IP reputation management, authentication tooling (SPF, DKIM, DMARC) made easy, and how the platform handles list hygiene and consent. Ask vendors for their approach, and keep your own list clean no matter what you choose.
4. Match automation depth to your actual plan
Deep automation builders are wonderful and routinely go unused. If your honest plan is a welcome series and a monthly newsletter, pay for a platform good at exactly that. Buy headroom only when the nurture sequences are mapped on a whiteboard, not imagined.
5. Integrations decide real-world fit
Your store platform, CRM, booking system or course platform must feed data in reliably — check the specific integration, its sync depth and whether key events trigger automations. A native, deep integration beats a Zapier bridge for anything revenue-critical.
6. Plan the exit before you enter
You will likely switch platforms once. Favour vendors that export contacts, engagement history and templates cleanly, tag your list structure from day one, and document your automations so they can be rebuilt. Future-you will be grateful.
